Paycom

Paycom is CRISTA’s online payroll provider. Employees use this online tool to:

  • Request time off
  • Insert payroll hours
  • View pay stubs
  • Review tax forms
  • And more

Visit www.paycom.com to get started, and use the information below to learn how to best use and navigate the Paycom site.

Approving Timecards

Timecard Approval

1. Click on Time Management

2. Click Edit time Cards

3. Enter search criteria

4. Select the time period you want to view

5. Click on the employee’s name

6. Review the timecard

7. Once all the punches are entered and the timecard is ready for payroll, the supervisor can approve the timecard in two ways: 1) Pay-Period Approval 2) Daily Approval

If the timecard is incomplete or incorrect you can edit the timecard prior to approval:

Editing Timecards

1. Click on Time Management

2. Click Edit Timecards

3. Enter search criteria

4. Select the time period you want to view

5. Click on the employee’s name

6. Review the timecard

7. If there is a “??”, this indicates a punch is missing. Clicking on the “??” will take you to a screen that allows you to add the missing punch for that employee.

8. If a punch is missed click the “Add Punch” button

9. Select the date to apply the punch to and the time and any special pay code if necessary.

10. Click the Add Punch button

11. To add Regular, Vacation, Sick or PTO hours for an employee, rather than clicking “Add Punch,” select “Add Hours.” Select the day or range of days to which to add the hours.

12. Select the day or range of days to which to add the hours.

13. Then within the “Pay Code” drop-down select the type of hours to add (Vacation, Sick, etc.). Note: The default is Regular

14. Next enter the number of hours.

15. For areas that have employees working in multiple departments/roles you will need to tie it to a department and a payroll profile (if applicable), add a comment and add a Tax Profile if they primarily work outside of WA State as in the case for KFMK in Texas.

Client and ESS Toggle Set Up

If you have a Client login you can set up your Paycom account to toggle between your Employee Self Service (ESS) page and your Client page. To do so, do the following:

1. From your ESS main page click on the Client Login button on the top right corner.

2. Follow the prompts to log in to your Client account.

3. Once your Client account is opened throught the ESS page you can now click on the ESS Login link on the top right of your Client page.

4. Enter your password.

Now you can flip back and forth between your Client and your ESS page.

Employee Self-Service

Company Information
Our company org chart and employee directory can be accessed through this section.

My Information
This section of ESS has personal information such as address, phone number, etc. as well as login information that can be viewed and updated. No more paper forms need to be submitted for address changes.

My Learning
This section allows the user to read a manual or watch a video that explains sections of Paycom and how to use them.

My Payroll
Through the payroll section of Paycom, all paychecks from the start of Paycom can be accessed along with tax and deduction information. W4 tax withholding can be updated, so no more paper forms need to be submitted. The change will be made in real time.

Time Off Requests
To receive pay for sick, vacation, floating holiday, bereavement, etc., we request time off through the Time Off Requests feature in Paycom.

Logging In to Paycom

First Time Employee Login to Paycom.com

  1. Make sure you have the login instructions provided by Human Resources which includes your username and temporary password. Contact Heidi Knapp at ext 7506 if you no longer have this.
  2. Click on www.paycom.com.
  3. On the top left of the screen hover over “Login” then click on “Employee”.
  4. Enter your username. Starts with 0v399…. (all numbers except the “v” plus your employee number). For example if your employee number is 0001, your username is 0v3990001.
  5. Enter your temporary password.
  6. Enter the last four digits of your social security number.
  7. Click login or press the enter key.
  8. Once you are logged in to Paycom, you will be asked to change your password.
  9. You will then set up five security questions.
Time Off Requests

How to Request Time Off Using Paycom

1. Log in to your ESS on Paycom.com

2. Select “Request Time Off” from the Time-Off Requests tile in the center of the screen or from the Main Menu navigation on the left side of the page.

3. Select the plus sign on the day you wish to request off on the Calendar.

4. Enter the amount of hours you need to request off as well as the accrual type. You are able to select the date or date range you would like to request off. (Note: Your available time is listed below under the “Hours Available” header.)

5. Enter in a Start Time depending on the time the time-off request will begin. You also have the ability to add a reason for the time-off request.

6. If you have a request that spans over a weekend, the “Ignore Weekends” check box is selected as a default and will skip placing requests on the weekend. Uncheck this box if you are scheduled to work weekends and are taking time off on a weekend.

7. When finished, select “Add Request.” You will be able to view the time-off request in the time-off calendar. When your supervisor approves or denies the request it will automatically update the calendar so you know if the time has been approved or not.

Tips & Frequently Asked Questions

Help! I’m having trouble logging in.
DO NOT use the letter “O” at the beginning of the Employee or Client Login as it is always a NUMBER. Please note that you can change your username to an email address by clicking on Change Password or Username under the My Information title in the menu.

Client Login username issue: If your last name is shorter than 5 letters the first initial and last name will not work. Please contact HR to find out what your username is.

I changed my username and password and now I can’t log in. What should I do?
If you changed your username and DID NOT click on the “Update” button, the system may not have saved your change and therefore your old username is still active.

I did not take sick or vacation leave this year but there is time recorded in my YTD (year-to-date) balances. Why?
The YTD (year-to-date) balance reflects any sick or vacation taken December 16-31 since it is paid January 7th of the following year. Please contact Heidi at x7506 if you have questions about your current balance.

I requested time off but my supervisor did not receive the request. What should I do?
Contact Heidi Knapp x7506 so we can make sure your supervisor is set up correctly.

Why do I see multiple pay rates on my pay stub?

When you have a pay rate change, the earning types (bereavement, floating holiday, vacation, sick etc.) will continue to show the old pay rate on your pay stub until you receive pay for that earning.

For example, a pay rate change happens on 7/1. On the 7/22 pay stub, regular and sick show the updated amount of 15.00 per hour, but floating holiday and vacation shows the old pay rate of 14.83. There were 80 hours of regular pay and 8 hours of sick, so that is why these two earning types show the updated amount. The next time there are hours for floating holiday and vacation, these rates will update to show the new pay rate of 15.00 per hour.

Web Timesheets

Recording Time Via Web Timesheets

1. Web Timesheet: From the main menu screen, select “Web Time Sheet” from the Time Management tile in the center of the screen.

2. To Clock In/Out: On the Time Sheet screen, you can select “Add Punch” to record Time In/out for the day and start time. To clock in, select “Day or Days” that you wish to record, “In Day” and the start time. To clock out, select “Out day” and the ending time. You can record time for a single day, week or the entire pay period. Click on “Exclude Weekends” if you do not work on Saturday or Sunday. If you’ve made a mistake you can delete any punch by clicking on the trash can on the right side of the screen.

3. When you’ve finished, click the “Add Punch” button. The time entries should display on your Web Time Sheet.

4. To approve your timecard (normally expected no later than the end of each pay period), click on “Approve Up to Date” at the bottom of your screen. Select the end date which you want to approve your timecard and then click “Approve Date.” Now your time is ready for approval by your manager.
